Putting it All Together In the final analysis, when translating these error rates to real life scenarios, we are of the opinion that our error rate will drastically drop even further if all documents had dictation included. We do concede that the documents that we exceeded the count on were empty templates (no dictation). Nonetheless, a .0007 percent is hardly noticeable, if at all, compared to a 2.21 percent overcharge, which can mean a nasty meeting with your client. On the other hand, using Microsoft Word or Sylcount for billing is tantamount to cheating yourself. In this particular test, the difference between our counter and Sylcount or Microsoft Word is of such magnitude that using our service (tossing all other advantages aside) negates the cost! As a matter of fact, you accrue a net profit gain. To put together the table below, we extrapolated from the above table to equate to 33 documents per day x 22.5 days in a month, roughly about the volume produced by a single author in a month’s time. We are also stipulating in this sample that lines are calculated at 65 characters, and the billing factor is set at 11 cents per line.

 

 

Text Box: Why are we so proud of our character/line counter:. We have always known that we could not rely on Microsoft Word for statistics. All testing thus far has demonstrated that although Microsoft is indeed reliable when counting the main body of text, when other variables (headers, footers, first page different than others, text boxes, footnotes and comments) are thrown in the mix, all bets are off. Realizing that this topic is the bread and butter of our users, we wanted to make absolutely certain that our counter is accurate. We begin by counting every character. As this process takes place, we apply exclusion rules that can be set as needed by your customer requirements. The Test Variables In order to demonstrate the program’s capability, we set out to compare our counting procedure with three other popular programs. We started by printing 11 documents at random and asked different people to count them. In the table below, the results of this count are shown in the Actual column. We kept the rules simple: count visible characters and spaces in between words on the entire document, to include headers and footers. All document templates were set with first page different than others so that we could have different text on subsequent pages. Also, some documents had an image with logo and text that was to be counted. Others had templates improperly formatted, where the transcriptionist is forced to hit two line feeds to produce paragraph breaks and multiple spaces or tabs to adjust text.
